For this role we also expect the person to work independently, take initiative and exercise a great deal of discretion in dealing with confidential data and materials. The position will require the individual to be ONSITE to oversee all office activities.

Requirements:

Bachelor’s degree preferred
2+ years administrative support experience (project coordinator/executive admin/HR etc.)
1+ years of experience in Agency Recruiting environment or HR is highly desirable
Ability to maintain confidential correspondence, records, reports and employee data
Solid computer skills (MS Office Suite and MAC OS)
Must have clear and precise communication skills
Ability to work with clients and consultants in a professional and courteous manner
Must be able to multi-task and prioritize responsibilities to complete on a daily basis
Must have the ability to self-manage and work both alone and in a team environment
Must demonstrate a positive and engaging attitude at all times

General Duties:

Provide executive support to President/CEO and COO regarding a variety of confidential corporate initiatives
Provide administrative support to Sales and Recruiting staff for day to day activities
Ensure strong office organization and maintenance (supplies, inventory records, maintaining office equipment)
Assist the Sales and Recruiting staff with documents, records and reports as needed (spreadsheets, ATS and CRM, formatting resumes/documents, KPI reporting, job postings, etc.)
Support the leadership team with ongoing Request for Proposals (RFPs)
Work with our marketing team on materials for (website, social media, press releases)
Responsible for business correspondence needs (business cards, signature lines, sales print materials, mailings etc.)
Responsible for consultant onboarding/offboarding tasks (I9, W4, Payroll etc.)
Organize and coordinate weekly and monthly financial documents (timesheets, invoices, payroll, etc.)
Coordinate travel arrangements as necessary (flights, car rentals, hotel accommodations, etc.)
Plan and coordinate company events (networking seminars, tradeshows, client social gatherings, etc)
Provide research and guidance on industry specific areas
Provide support, evaluation and administration on general areas (i.e. benefits, 401k, compensation plans, etc.)
Manage the Candidate Care Program – All touchpoints for Recruiters and Sales
Participate in special projects as required
